Hi JOP Family,

Today's meeting was attended by about 30 parents and archers. Thank you for coming. This is a report about what occurred for those who didn't make it and a refresher for those who did. We handed out some awards from the tournament, however, most winners were not present. Pick up your ribbons, pins and badges at the lessons please!

We talked about JOP Archery from the past and that Cliff Allen will not be coming back to Victoria Bowmen. He is no longer a member of the Club and doesn't plan to return. We also talked about JOP since January with the Indoor season and how there has been some frustration on behalf of the Board with behaviour of JOP and their parents and the lack of volunteerism. I also shared that I have had some instances of rather rude and mean behaviour from some parents and archers and the need for courtesy and respect for each other and the leaders.

I also discussed my illness and the struggles I have had with my health.

I've been diagnosed with Chronic Fatigue Syndrome and my doctors want me to take some time off from my volunteer work and activities to reduce stress and to rest. Running the JOP Program has been a big job but very rewarding. I haven't had very much help. Now I'm stepping aside for a couple months to take a rest. This allows others to come forward and I hope you will. You are all needed to keep this program running.

Below I've put the agenda from the meeting, followed by some minutes and question answers. It's not formal, just what I remember.

Questions Can we learn to fix equipment, have some teaching, a clinic?

Next Meeting Date: Saturday, April 22, 2006 at 12 noon, after regular practise time. Monthly meetings were agreed upon.

We talked about the different jobs needed to coordinate the JOP program, the need for people to step forward and learn some basic coaching techniques to help out the new archers. It was asked where to get the training. Al Wills has offered to do a coaching clinic. Please e-mail him at al@archeryguy.com  to discuss possible dates and get more info. He will go ahead if there is enough interest.

We also discussed the need for someone(s) to manage the equipment. The Club does not have an Equipment Director at this time and some of the bows and arrows need some repair. Any volunteers? We have a few people willing to repair the equipment, but we need someone to coordinate what needs to be done, monitor the inventory and tell those who do the repairs what needs fixing. They don't come to JOP so someone needs to keep a running list of what's needed and keep in touch. A clinic about fixing arrows and making bowstrings was requested. Jim Birtwistle (Bowhunting/3D Director) 3Drep@victoriabowmen.com  and Al Wills (Secretary) secretary@victoriabowmen.com  are the ones to contact. Please let them know if you are interested in learning to repair equipment or willing to take on this position.

We talked about having a sign-up sheet for parents and archers to learn to run a practise with duties as listed above. Each person would sign-up to run one practise this year, thereby freeing the coaches to coach. We need someone to make up the sign-up sheet. Perhaps you would like to do it?

We talked about lessons on days other than Saturdays. That won't happen until later in the Spring when there's more light. Wednesday evenings will be Club shoot nights where everyone is welcome. Until there is more parent/young adult involvement, more lessons times cannot go ahead. It was asked about borrowing Club equipment during the week. As the containers can only be opened by Board members with a key, it makes it difficult. Call a Board member and see if they are already going to shoot that day. They will help you out. It is asked that you not borrow Club equipment at this time as inventory is ongoing. If you have club equipment at home please notify Bruce Somers (Vice President) vp@victoriabowmen.com  to officially sign it out. We need a record. Perhaps someone might do up a formal sign-out form?

We talked about the need for a phoning committee and everyone present received a package with a list of all JOP members with phone numbers and e-mail. Volunteers are needed so one person is not trying to phone the whole Club, but perhaps only 8 or 10 families instead.

A Grounds Clean-up date was announced for Saturday, April 29 at 9am - 12 noon followed by a BBQ lunch. Lessons are cancelled, but shooting practise will commence after the BBQ and clean-up. Please come out and help. Mary Wills is the Social Director social@victoriabowmen.com

Perhaps you might volunteer to help with the BBQ? Everyone is needed for the clean-up.

Finally we discussed the list of Archer's duties and parent responsibility. Parents please discuss these with your children and young adults. Print your newsletters and post somewhere in household to share with the whole family. Then everyone knows what happening. The JOP Newsletters are e-mailed by Wednesday morning most weeks.
